General Travel Conditions of Meet in Georgia LLC

The travel conditions only apply to trips where we are the tour operator and the traveler books directly with us. These conditions apply to all programs and offers of the tour operator. Meet in Georgia travel offers generally do not include international flights. Depending on your needs, we only book the domestic flights. 

Conclusion of the travel contract

With the travel registration the traveller makes a binding offer to the Tour Operator Meet in Georgia to conclude the travel contract. The travel contract is concluded upon receipt of Meet in Georgia's declaration of acceptance. The applicant also registers for all participants listed in the registration, for whose contractual obligations the applicant is responsible as for his own obligations.

After the conclusion of the contract, the traveler receives a Travel confirmation by e-mail. Travel confirmation contains all essential information about the travel services booked by him. The travel confirmation can be expected within 48 hours for trips with fixed dates and within 72 hours for signature trips after registration.

Payment conditions

A deposit of 25% of the travel price is due immediately after receipt of the booking confirmation/invoice. The balance is to be paid 30 days before departure without further request. In the case of travel contracts that are concluded less than 30 days before the start of the trip, the entire travel price is due for payment immediately.

We accept payments by bank transfer to our Georgian account in EUR and USD or to WISE account. All details can be found on our invoice. Please note that when making a transfer to the Georgian account, in addition to the regular bank fees of the sender, the fees for the intermediary bank must also be paid by the sender, which usually amount to around 30 USD/EUR per transfer.

If due payments are not made or not made in full and the traveler pays even after a reminder with a reasonable grace period not, the organizer can withdraw from the respective contract.

Prices, services

Which services are contractually agreed results from the service descriptions in the written confirmation. Before the contract is concluded, Meet in Georgia can make changes to the service descriptions at any time, about which the traveler must be informed by us before booking. Changes to the travel service compared to the content of the concluded travel contract, which become necessary after the conclusion of the contract, are permitted as long as the changes are not significant and do not affect the overall design of the booked trip and are reasonable. Any warranty claims of the traveler remain unaffected. Meet in Georgia will inform the traveler of any changes before the start of the trip, clearly and prominently on a durable medium.

Meet in Georgia reserves the right to change the agreed travel price subsequently increased in order to compensate a personal increase in transport costs, charges for certain services (such as port and airport fees) and changes in exchange rates. Should a price change occur, Meet in Georgia will promptly notify the customer. A price change is only permitted up to the 21st day before departure. The price change is possible on condition that the circumstances leading to the increase demonstrably occurred after the conclusion of the contract and were not foreseeable for the tour operator before the conclusion of the contract. In the event of a price increase of more than 8%, Meet in Georgia may require the traveler to accept the offer of a price increase of more than 8% within a reasonable period of time to be determined by the tour operator or to withdraw from the contract without paying a cancellation fee. After the period set by the Meet in Georgia has expired, the offer to increase the price is deemed to have been accepted if the traveler does not withdraw from the travel contract. Meet in Georgia can also offer the traveler participation in another trip.

If the traveller requests subsequent changes to the agreed program, Meet in Georgia reserves the right to charge an appropriate handling fee per person additionally to any additional costs that may arise from this change. Read more under Rebooking/Substitue person. 

For the designing of individual trips that deviate from the respective service description additional costs of a maximum of € 5.00 per day of travel will be charged.

Passport, visa and health regulations, other

As a traveller, you are responsible for complying with all regulations that are important for carrying out the trip and must have the necessary travel documents. All disadvantages resulting from non-compliance will be at your expense, unless there is erroneous information from Meet in Georgia.

Cancellation by the traveler before the start of the trip / cancellation costs

The traveler can withdraw from the trip at any time before the start of the trip. The receipt of the declaration of withdrawal by the tour operator is decisive. The declaration of withdrawal must be made in writing. If the traveler withdraws from the trip or if the traveler does not start the trip, the tour operator is entitled to appropriate compensation, provided that the cancellation or non-commencement of the trip is not his fault and it is not a case of unforeseen, extraordinary circumstances such as e.g. war, civil unrest, epidemic, natural disaster. These costs are calculated as a percentage of the travel price, taking into account the proximity of the time of cancellation to the agreed start of travel. Saved expenses and a possible other use of the travel services are taken into account.

Unless otherwise agreed, the following cancellation costs will apply if the traveler withdraws from the trip:

Up to 30 days before the start of the trip 25%,
up to 15th day before the start of the trip 50%,
up to 7th day before the start of the trip 75%,
up to 1st day before the start of the trip 85%,
on the day the trips begins or No-Show 95%.      

Costs such as visa, telephone or processing costs cannot be reimbursed in the event of cancellation of the trip.     

Group trips are subject to separate conditions, in particular regulations on cancellation and the resulting cancellation costs that are announced to the traveler upon conclusion of the contract. 10 or more participants are considered as group.

Rebooking, substitute person

On request, Meet in Georgia will make a change to the confirmation (rebooking) if feasible. Rebookings are e.g. changes in travel date, destination, place of departure, accommodation or transportation. A separate fee of EUR/USD 5.00 per day of travel will be charged for this. In the event of a change in transport, accommodation (except for changes within the booked accommodation), meals or the travel date, the travel price for the changed services will be completely recalculated on the basis of the prices and conditions then in force. In the event of a change within the booked accommodation (e.g. change in the room category, the type of board or the occupancy of the booked room), the price for the changed services will be recalculated based on the prices and conditions on which the booking was based.

Within a reasonable period of time before the start of the journey, the customer can declare on a durable medium that a third party assumes the rights and obligations arising from the travel contract in his place. The explanations are in any case timely if they are not given to the tour operator later than 7 days before the start of the journey. The tour operator can object to the entry of the third party if this contractual travel requirements are not met. If a third party enters into the contract, he and the traveler are liable to each other the tour operator as joint debtor for the travel price and the additional costs incurred through the entry of the third party. Meet in Georgia may only request reimbursement of additional costs if and to the extent these are appropriate and actually arose. The tour operator must provide evidence of which amount due to the additional costs incurred.

Withdrawal and termination by the tour operator

The organizer can terminate the travel contract without notice if the implementation of the trip is persistently disturbed by the traveler despite a corresponding warning from the organizer. The same applies if a traveler behaves in breach of contract to such an extent that the immediate cancellation of the contract is justified. However, the organizer retains the right to the travel price.

If the specified minimum number of participants is not reached, the tour operator can withdraw from the travel contract if the minimum number of participants and the latest withdrawal period are stated in the travel confirmation or refers to the corresponding information in the travel description. The tour operator is obliged to inform the customer of the cancellation of the trip immediately if it is certain that the trip is not carried out because the minimum number of participants has not been reached. Cancellation must be declared to the customer no later than 30 days before departure. If the trip is not carried out for this reason, the traveler will receive back the payments made on the travel price within 14 days after the cancellation. In the event of cancellation by the tour operator, the traveler is entitled to request participation in another trip of at least equal value if the organizer is able to offer such a trip from its range at no additional cost to the traveler.

Defects, complaints, compensation

If you think the travel services are deficient, please get in touch with the contact person given to you with the travel documents immediately so that remedial action can be taken. If the defect is not reported to this contact person, this can result in you not being able to make any claims for these defects (reduction, compensation) can assert. Small things on site should first be settled with the hotel manager or the local travel agent as a gesture of goodwill.

You can only cancel the travel contract if you have given the tour operator a reasonable period of time to remedy the situation, unless the remedy is impossible or is refused by the tour operator. In order to assert a claim for a travel price reduction or compensation, you must submit a written complaint to Meet in Georgia. A period of one month after returning from vacation applies to travel defects.
